Privacy notice
This notice explains what personal data we collect when you register for the STI Summer School 2026, why we collect it, and what your rights are.
What we collect
Through the registration form we collect the information you provide: name, email, affiliation, role, postal address, country, paper details (if submitting), and dietary and accessibility needs.
The satisfaction survey
The post-event satisfaction survey is anonymous and is stored separately from registrations. We record only the answers you give: the ratings, the balance questions, and the free-text comments. We do not record your name, email address, IP address, or browser details alongside them, and survey answers are never linked back to your registration.
The one exception is the final, optional question that asks for your name so that we can follow up on your comments. If you fill it in, that name is stored with your answers; if you leave it blank, there is nothing in the response that identifies you — which also means we cannot retrieve or delete an individual anonymous response on request. The legal basis is your consent (Art. 6(1)(a) GDPR), given by submitting the form.
Why we collect it
- To register you for the event and communicate with you about it.
- To plan catering, seating, and accommodations.
- To process payment of the registration fee.
- To evaluate submitted abstracts and papers.
- To evaluate the event and improve future editions.
The legal basis is your consent (Art. 6(1)(a) GDPR) and the performance of your registration (Art. 6(1)(b) GDPR).
Who sees it
Your registration data is accessible to members of the organizing committee (see committee) and is processed on their behalf by:
- Cloudflare — hosts the backend that receives and stores registration and survey submissions from this site, and provides the anti-spam check on both forms.
- Resend — the email service we use to send registration confirmations and follow-up messages.
- SKEMA Business School — for payment processing of the registration fee.
We do not share your data with third parties for any other purpose.
How long we keep it
We keep registration data for the duration of the event plus a reasonable period thereafter (typically up to 12 months) for reporting, follow-up, and accounting. Financial records may be kept longer where required by law.
Your rights
You have the right to access, correct, or delete your data, and to withdraw your consent at any time. To exercise these rights, email sti@kuleuven.be.
This is a short notice aimed at registrants. A fuller data-protection notice will be provided where required by the participating institutions.
