Privacy notice

This notice explains what personal data we collect when you register for the STI Summer School 2026, why we collect it, and what your rights are.

What we collect

Through the registration form we collect the information you provide: name, email, affiliation, role, country, paper details (if submitting), dietary and accessibility needs, and invoice details.

Why we collect it

  • To register you for the event and communicate with you about it.
  • To plan catering, seating, and accommodations.
  • To invoice you and process payment of the registration fee.
  • To evaluate submitted abstracts and papers.

The legal basis is your consent (Art. 6(1)(a) GDPR) and the performance of your registration (Art. 6(1)(b) GDPR).

Who sees it

Your registration data is accessible to members of the organizing committee (see committee) and is processed on their behalf by:

  • Formspree — the form-handling service that receives submissions from this site.
  • SKEMA Business School — for invoicing and payment processing.

We do not share your data with third parties for any other purpose.

How long we keep it

We keep registration data for the duration of the event plus a reasonable period thereafter (typically up to 12 months) for reporting, follow-up, and accounting. Financial records may be kept longer where required by law.

Your rights

You have the right to access, correct, or delete your data, and to withdraw your consent at any time. To exercise these rights, email sti@kuleuven.be.

This is a short notice aimed at registrants. A fuller data-protection notice will be provided where required by the participating institutions.
